PRO

With Import from bank you upload your bank statement and facturillo reads its transactions. Then you review the list and decide what gets added as a receipt, what you had already logged and what you discard. It is the quick way to fill in the expenses you did not scan.

What you can do

  • Upload the statement of a Bank account or a Credit card, as a .csv or .xlsx (Excel) file.
  • Add the expenses you are missing as receipts, with the category facturillo suggests or one you pick.
  • Link a transaction to a receipt you already have, so the same expense is not counted twice.
  • Add a credit or deposit from your statement as income.

Upload your statement

Before you start, download the statement from your bank's online banking as Excel (.xlsx) or CSV (.csv) and save it on your phone.

1

On the home screen, tap the round button at the top right (it alternates between your profile photo and a three-dot icon) to open your profile.

2

In the TOOLS section, tap Import from bank (it carries the PRO tag). The Import from bank screen opens with the list of your imports.

3

Tap the + button at the bottom right. New import opens.

4

Under Bank, tap Select your bank and pick your bank from the list. Under Statement type, keep Bank account or switch to Credit card, depending on the file you are uploading.

5

If you like, type a name that helps you recognize the account under ACCOUNT (OPTIONAL), for example "Checking account ...1234".

6

Under File, tap Upload your bank statement (.csv or .xlsx) and pick the file. If you picked the wrong file, remove it and pick another one before importing.

7

Tap Import at the bottom. The button turns on once you have picked the bank and the file. You will see "We are processing your bank statement. We will let you know when it is ready." and you are back on the list, where the import shows Processing... we will let you know.

There is a daily limit on imports: if you reach it, the app tells you with «You reached the daily import limit.» and you can upload the file the next day. Below the File field, the screen tells you how many new transactions are processed per file: if your statement has more, anything left out is added when you upload the same file again.

The status of each import

In the Import from bank list, each import shows the bank, the file name and a status line:

  • Processing... we will let you know: facturillo is reading the file. When it is done, you get a notification.
  • Preparing support for your bank: we cannot read that file's format yet. The import waits while we prepare it and continues on its own when it is ready.
  • Ready to review · N undecided: you can review it now. Tap it to open it.
  • This file looks like a credit card statement (or a bank account statement): you picked the wrong statement type. Tap Retry as credit card or Retry as bank account, as the case may be, and facturillo reads it again with the right type.
  • We could not read this file: the file could not be read. Check that it is the statement as .csv or .xlsx and upload it again.
  • Completing import… and then Processed · N added: the review is finished and the receipts were added.

What facturillo does with each transaction

When it reads the file, facturillo sorts the transactions before you see them:

  • Each expense stays pending so you decide whether it becomes a receipt.
  • If you already have a receipt for the exact same amount from a few days before, facturillo links it to that transaction. No new receipt is created and the expense is not counted twice. You see those linked transactions under the Approved filter.
  • Card payments and credits or deposits are not added as expenses. You see them apart, under Omitted.
  • Transactions you already added in an earlier import are not repeated. You see them under Already added.

Review and decide

1

In the list, tap the import that says Ready to review. Review import opens. At the top you see how many transactions are new, how many already added and how many skipped, and below them the filters Pending, Approved and Rejected (plus Omitted and Already added when there are any).

2

Under Pending, swipe a transaction to the left. Tap Approve to mark it to be added as a receipt: Approve transaction opens with the suggested category. If you want another one, tap it under CHANGE CATEGORY, then tap Approve. To leave it out, tap Reject and confirm with Discard in Discard transaction.

3

If you prefer to see the details, tap the transaction. At the bottom you have the same Reject and Approve buttons. If facturillo found a similar receipt, you see the card We found a matching receipt: tap Link with this receipt and confirm with Link.

4

If the expense is already in facturillo but no suggestion showed up, tap Link receipt (Search your added receipts). You see your receipts with nearby dates and amounts. Pick the right one and confirm with Link. The receipt does not change and no new one is created.

5

To discard every transaction still pending in one go, tap Reject at the bottom and confirm with Reject all.

6

When nothing is pending, tap Approve at the bottom and confirm with Approve in Complete import. The approved transactions are added as receipts and the links are completed. When it finishes you see Import completed.

Tip

Before approving, link the expenses you already scanned. That way each purchase is in your expenses only once, with the DGI receipt and its bank transaction together. If you approve transactions from earlier months, your analytics for those months update.

Add a credit as income

Credits or deposits on your statement land under Omitted with the note Credit. If one is income you want to log, swipe the transaction to the left and tap Add, or open it and tap Add as income and then Add. The income is created when you complete the import with Approve. Until then you can undo it with Revert or Revert income.

Change your mind, cancel or delete an import

  • Before you complete the import, everything can be changed. In Review import, swipe a decided transaction to the left: on an approved one tap Discard, on a rejected one tap Add, and on a linked one tap Unlink so it goes back to pending.
  • After you tap Approve in Complete import, the decisions and links are permanent. The receipts that were created are receipts like any other in your list.
  • While it is processing, you can cancel it: in the Import from bank list, swipe the import to the left, tap Cancel and confirm with Yes, cancel. The file is discarded and you can upload it again whenever you want.
  • To delete it, open it (you can delete one that says Ready to review or Processed, but not while it says Completing import…), tap the three dots at the top right and, in Options, tap Delete import and confirm with Delete. The import leaves your list. The receipts already added with it stay in your list. From Options you can also tap Download original file. An import that says We could not read this file does not open: upload the file again.

Where it shows up and on which plan

Import from bank is a facturillo Pro feature, and whoever pays for a Familia plan can use it too, in their personal account. The row shows in your personal account's profile. If you are inside a family or business account, go back to your personal account first, as explained in Switch between your accounts.

On the Free plan, the Import from bank row shows with the PRO tag and opens the screen, but there is no + button. Instead you see the card Turn your bank statements into receipts, which opens the plans screen when you tap it. If you made imports while you had Pro, you still see them: you can open them, download the original file and delete them, but not approve, reject or link.

If you turned on your business profile, the Personal / Business selector shows above the list. Each new import goes to the side you have selected, and the list shows that side's imports. While the feature is in an experimental phase, the screen says so with the Experimental feature notice.
